Lead & Campaign Tracking Readiness Checklist
For marketing, advertising and PR agencies checking whether their lead tracking and reporting will hold up as client accounts grow. Tick an item when it's true today, not when it's planned.
To print, use your browser's print command (Ctrl+P, or ⌘P on a Mac).
Don't write client data here. No client names, contracts, credentials or campaign budgets on this sheet.
1Lead capture and consent
Every form that can generate a lead writes into Customer Insights, not just into an inbox. If a form only sends an email, a lead can get lost or go untracked.
Source and campaign are tagged automatically at the point of capture, not added by hand later.
Consent is recorded with a timestamp, separate from the lead's other details.
Forms nobody can explain, or that no longer go anywhere, have been found and either fixed or removed.
2Segmentation and scoring
There's a written, agreed definition of what makes a lead "sales-ready".
Scoring runs automatically; nobody is deciding lead priority by eye each morning.
Segments are reviewed at least quarterly so stale criteria get updated.
3Reporting
Dashboards refresh on a schedule, not by someone exporting a spreadsheet.
Each client sees only their own data, not the whole agency's dashboard.
Leads, cost per lead and pipeline by source can each be shown on their own.
4Client collaboration
Each client has one agreed place for assets, not a mix of inboxes and personal drives.
Access is granted by group, and removed automatically when someone leaves an account.
Copilot-drafted briefs or reports are reviewed by a person before a client sees them.
5Data governance
There's a written retention period for lead and campaign data, and it's actually followed.
A leaving staff member loses access to all client data on their last day.
Someone could answer "where does a lead's data live, end to end" without guessing.
